Reviewing Timecards

How to find and read timecards waiting for your approval in the Client Contact Portal.

When a candidate submits hours for a placement assigned to you, those timecards appear in your portal for review before the staffing agency gives final sign-off. This article explains how to navigate the portal and read timecard details.

Access the portal

Your staffing agency will send you an invitation email with a link to set up your account. Once your account is active:

Go to your agency's Hire2Hero URL (provided in your invitation email).

Sign in with your email address and password.

You'll land on the Home screen, which shows a summary of timecards and expenses currently waiting for your review.

Bookmark the portal URL after your first sign-in so you can return quickly when timecards arrive.

Find timecards

From the Home screen, the Time Cards tile shows how many timecards are currently pending your approval. Click the tile to go directly to the timesheets list.

You can also reach timecards at any time by tapping Time Cards in the bottom navigation bar.

The timesheets list shows all timecards associated with your placements. Use the tabs at the top to filter what you see:

Each card in the list shows:

  • Candidate name — the worker who submitted the hours
  • Placement and client — which job and company the hours are for
  • Period — the date range covered (e.g. Apr 14 – Apr 20)
  • Hours — regular hours, and overtime/double-time if applicable
  • Status — where the timecard is in the approval workflow

Understand timecard statuses

StatusWhat it means
Pending ApprovalSubmitted and waiting for your review
Partially ApprovedAt least one required approver has signed off, but others haven't yet
ApprovedAll required approvals are complete
RejectedReturned to the candidate for corrections

If multiple people at your company are configured as approvers for a placement, the timecard stays in Partially Approved until all required approvers have acted. You can approve your portion independently of other approvers.

Open a timecard

Tap any timecard card to open the detail view. The detail shows:

  • Hours by day — each entry with its date and hours logged
  • Hour totals — regular, overtime (OT), and double-time (DT) hours broken out
  • Status — current approval state

Download a PDF

To download a copy of the timecard for your records:

Open the timecard detail.
Tap the download icon in the top-right corner of the card.

A PDF is generated and downloaded to your device.

What to check before approving

Before acting on a timecard, confirm:

  • The hours and dates look correct for the pay period
  • Regular and overtime hours match what you expected for the candidate's schedule
  • No unexpected days are included (weekends or holidays if not scheduled)

If something looks off, you can reject the timecard and include a note explaining what the candidate should fix.
