Connecting Your ATS
How to connect Hire2Hero to your Applicant Tracking System and complete the one-time setup flow before going live.
Hire2Hero integrates with your Applicant Tracking System so that placements, candidates, and clients flow in automatically — no manual re-entry. This guide walks through the one-time setup flow to connect, configure, and go live.
The Manage ATS role is required to access the ATS integration page. If you don't see it in the sidebar, contact your Hire2Hero administrator.
Navigate to Settings → ATS Integration to begin setup.
The setup flow
The ATS setup page is a guided accordion — each step unlocks the next. Work through each section in order.
Step 1: Select your ATS
Click the button for your ATS to select it. This locks in your choice and enables the connection step.
Step 2: Connect
Enter your ATS username and password — the same credentials you use to log in to your ATS directly.
Click Connect. Hire2Hero will authenticate with your ATS, obtain an access token, and confirm the connection.
If the connection succeeds, you'll see a confirmation and the next steps will unlock. If it fails, double-check your credentials and try again — common causes are a mistyped password or an ATS account that doesn't have API access enabled.
Hire2Hero refreshes your ATS token automatically. You only need to reconnect if your ATS password changes.
Steps 3–7: Configure field mappings
Before pulling any data, you tell Hire2Hero which ATS fields map to which internal fields. There is one configuration screen for each entity type:

For each entity, select the ATS field you want to use for each internal field. Some fields are required — you cannot save a configuration with a required field unmapped.
Required placement fields: Title, Candidate, Start Date, End Date, Pay Rate, OT Pay Rate, Bill Rate, OT Bill Rate, Billing Contact, and Approving Contact. All must be mapped before you can proceed.
Step 8: Test pull a placement
Enter a placement ID from your ATS and click Test. Hire2Hero will attempt to fetch that placement and show you what it would import — including the candidate, client, and all mapped fields. This is your chance to catch misconfigured mappings before they affect your full data set.
If the test pull fails or the imported data looks wrong, go back to Steps 3–7 and adjust your field mappings.
Step 9: Add filters
Filters let you control which placements Hire2Hero imports. Without a filter, Hire2Hero will attempt to bootstrap every placement in your ATS account.
Add one or more filter conditions to narrow the import — for example, to a specific date range, status, or custom field value.
Step 10: Test filters
Click Test Filters to preview which placements match your filter criteria. Review the results to confirm the filter is selecting the right subset of records. Adjust and re-test until the results look correct.
Step 11: Bootstrap
Bootstrap pulls all existing placements that match your filters from your ATS into Hire2Hero. This is a one-time bulk import — it can take several minutes depending on how many records match.
Click Bootstrap to start the import. Hire2Hero processes placements in batches asynchronously — the page will show progress.
Wait for the bootstrap to complete before proceeding. You can navigate away and come back — progress is tracked server-side.
Review the results. If any records failed to import, the reason will appear in the error banner at the top of the ATS integration page. Common failure reasons are missing required fields or a candidate/client that couldn't be matched.
Step 12: Go Live
Once bootstrap is complete and you're satisfied with the imported data, click Go Live. This enables the real-time sync: Hire2Hero will poll your ATS every 5 minutes for new and updated records.
Step 13: Audit Trail
Click Download Audit Trail to export a record of all configuration changes made to your ATS integration (field mappings, filter changes, and similar setup modifications). This is useful for auditing who changed what and when.
Step 14: Disable ATS
Click Disable to turn off the integration without deleting your configuration. The 5-minute polling stops immediately — your existing Hire2Hero records are not affected. To re-enable, click Go Live again (Step 12).
If Hire2Hero loses connectivity to your ATS (for example, if your password changes), an error banner will appear at the top of the ATS integration page. Re-enter your credentials in Step 2 to reconnect.
