Clock-In/Out Timecards

How clock-in/out time entry works — punch pairs, time rounding, location verification, and what admins review.

With clock-in/out entry, candidates record a Time In and Time Out for each shift rather than typing hours directly. Hire2Hero calculates the duration from the punch pair and applies any time rounding configured on the placement.

How candidates clock in and out

For each shift, the candidate:

  1. Taps Clock In at the start of the shift (or enters the time manually).
  2. Taps Clock Out at the end of the shift.
  3. Selects the block type for that shift (Regular, Overtime, etc.).
  4. Repeats for each shift in the pay period, then submits the timecard.

Multiple punch pairs can be recorded per day — for example, a candidate who takes an unpaid lunch break would clock out and back in around the break.

Time rounding

If the placement has Time Rounding enabled, Hire2Hero adjusts each shift's duration to the nearest configured interval before applying it to the timecard totals. Rounding is applied at submit time, not at clock-in.

Example: A candidate clocks in at 8:03 and out at 4:58, with rounding set to 15 minutes / Nearest. The raw duration is 8h 55m. Rounded to the nearest 15 minutes, it becomes 9h 00m.

The timecard detail view shows both the raw punch times and the rounded totals so admins can verify rounding was applied correctly.

Location verification

If the placement has Location Restriction enabled, the candidate's device location is checked at clock-in. Punches made outside the configured geofence are flagged.

Location data (latitude and longitude) is stored with each punch and is visible in the timecard detail. Admins can use this to verify on-site presence for placements that require it.

Location verification depends on the candidate granting location permissions to the Hire2Hero app on their device. A missing location on a punch may indicate a permission issue rather than an off-site clock-in — check with the candidate before rejecting.

What admins see when reviewing

In the timecard detail view, clock-in/out timecards display each punch pair as a row:

Totals for regular, overtime, and double-time hours appear at the bottom.

What to check when reviewing

  • Missing punch-outs — a Time In with no matching Time Out means the candidate forgot to clock out. The shift duration will be zero or flagged. Reject and ask the candidate to correct it.
  • Implausible durations — a 14-hour shift or a 2-minute shift is worth questioning before approving.
  • Overnight shifts — verify that a Time Out earlier than the Time In is intentional (e.g. an overnight shift from 10 PM to 6 AM) rather than a data entry error.
  • Rounding impact — if rounding is aggressive (always up, 15-minute intervals), verify the rounded totals align with what the placement's client expects on the invoice.
  • Location flags — if location restriction is on and a punch is flagged as off-site, confirm with the candidate or their supervisor before approving.
  • Overlapping punches — two punch pairs on the same day that overlap in time indicate a data entry problem.
